PRIVACY POLICY

Privacy policy for website aegean-collection.com

This policy explains how information is handled when you browse this website, send an accommodation enquiry or continue to a property's reservation system.

1) Our Privacy Policy was last updated and posted on 11 October 2026. It governs the privacy terms of our Website, located at https://www.aegean-collection.com, sub-domains, and any associated web-based and mobile applications (collectively, “Website”), as owned and operated by GALION IKE (ΑΦΜ 800779297).

2) We care about your privacy. This policy explains our commitment to safeguarding your personal information in connection with your use or access of this website. It describes the information collection, use, retention and disclosure practices (together referred to as “processing”) and also informs you of your rights with respect to information about you held by us. Please read this policy carefully. Where you make a reservation, we process your information as necessary to perform our obligations to you under the booking terms shown by the reservation system at the time you book. Review the terms for your selected rate before confirming a reservation.

3) Information we collect

a) Voluntary information

We only collect personal information if you provide it to us for a certain reason. Before the collection of personal information, we will identify the purposes for which information is being collected. We do not collect information indiscriminately. If you send us an enquiry through the interest form on an accommodation page, we receive the name, phone number, email address, preferred dates, number of guests and any message you choose to write, together with the accommodation selected. Enquiries are sent through our configured email delivery service or enquiry endpoint. If delivery fails, the form displays an error and provides alternative contact details. If you contact us directly by email, telephone or social media, we will also be receiving your personal information.

b) Automated information

Our hosting provider may process technical request information, such as your IP address and browser information, to serve and protect the site. The enquiry handler uses the request's IP address for a short-lived submission limit. The website also stores your cookie preferences and booking search in your browser as described below.

c) Reservations and payment information

This website does not process bookings or take payments. When you choose to reserve, you are handed over to the reservation system operated for our properties on the reserve-online.net platform (WebHotelier), where your booking and any payment are completed. That platform is the provider of the booking interface under the applicable terms and privacy policy, which you are advised to review before completing a transaction. This website does not collect card details. The dates, guest count and room count you select are passed to the booking engine.

4) Use of information

a) We use the personal information you provide to us to answer your enquiry, prepare and manage your reservation, and supply the services and information you have requested. If you contact us directly, we will use your information to respond to you.

b) We also use personal information as necessary to investigate misuse of this website or of a booking, and to protect us from legal action or claims from third parties including you and/or other guests; and as necessary to protect the legal rights, personal or real property, or personal safety of our company, our guests, employees, and affiliates.

c) This website currently has no analytics or advertising provider installed. Choosing those categories in the cookie preferences records your choice; it does not activate tracking on this website.

d) Consent. We rely on your consent for certain collection and uses of personal information, including non-essential cookies and any marketing communications. By giving us your consent you declare that you are at least 16 years old, otherwise that consent must be given or authorised by the holder of parental responsibility over the child. Where collection, use or storage relies on your consent, you have the right to withdraw that consent at any time by writing to us at info@aegean-collection.com, or — for cookies — by using .

5) Cookies

The European Union General Data Protection Regulation (EU GDPR, Regulation 2016/679) and the ePrivacy rules require website operators to inform web users if a website uses cookies or similar technologies, and to obtain consent for those that are not strictly necessary. Our website uses a small number of them.

a) A cookie is a small text file which a website’s server places on your device when your browser loads a particular website. Similar technologies, such as local and session storage, store data in your browser in the same way.

b) Strictly necessary. We store your cookie choice so we do not have to ask again on every page, and we keep the dates and party size you type into the booking search for the length of your visit so they carry between pages. Both are required to deliver a service you have explicitly requested, and the search data is discarded when you close the tab. We also store whether the booking panel has already opened, and whether you closed the book-direct offer, during the current visit.

c) Analytics and marketing. No analytics or marketing cookies are currently set by this website. You can review your stored preferences at any time using .

d) Controlling cookies. You can also control cookies by customising your browser’s settings — blocking them, or clearing them when you finish browsing. If you block or reject all cookies from our website, some parts of it may not work as intended. A full list of what we set, and for how long, is in our cookie policy.

6) Sharing and disclosure

We do not transfer, sell or otherwise disseminate personal information to other companies and organisations including marketers and advertisers unless you expressly consent. We do share information with the service providers we need in order to run the site and take reservations: our website hosting provider, our email provider, and the reserve-online.net reservation platform. Their applicable privacy terms should also be reviewed. Please note that we may disclose information if we are compelled to do so in compliance with a legal obligation, court order or a law enforcement agency’s request in relation to the investigation of illegal activity.

Some of these providers, including our email delivery service, may process data outside the European Economic Area, for example in the United States. Such transfers rely on the EU–US Data Privacy Framework or the European Commission’s Standard Contractual Clauses.

7) Lawful bases

In compliance with Regulation 2016/679 of the European Union, we have to establish that we have a lawful basis for the processing of certain information including personal information. We rely on the following lawful bases in collecting, using and retaining personal information.

a) Performance of a contract. When you make a reservation, we collect, store and use the personal information you provide so as to fulfil our obligations and supply the accommodation and services you have requested.

b) Compliance with a legal obligation. In some cases the law may require us to retain and/or disclose certain information about you for a particular purpose — for example for purposes related to value added tax, accounting, tourism registration or in response to a court order. Where we are compelled to do so, processing will happen without your prior consent.

c) Legitimate business interests. We may contract other parties to supply goods, services or information to you on our behalf. This is in our business’s legitimate interest. No personal information will be shared with a supplier or affiliate if that sharing entails a greater and unnecessary impact on your privacy.

d) Consent. We will not share, sell or rent your information to third parties for marketing purposes without your prior express consent.

8) Access, correction and erasure

You have the right to access the data and information we hold about you in connection with this Website. You also have the right to rectify inaccurate data, to have data erased, to restrict or object to processing, and to receive your data in a structured, commonly used and machine-readable format. If you would like a copy of your personal information, please contact us by email at info@aegean-collection.com and we will be happy to assist you. We respond within one month. In certain cases, if the law so permits, we may decline requests that are manifestly unfounded or excessive. Your request for deletion may be rejected if the information is needed: (a) for exercising the right of freedom of expression and information; (b) for compliance with a legal obligation which requires processing for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller; (c) for reasons of public interest in the area of public health; (d) for archiving purposes in the public interest, scientific or historical research purposes or statistical purposes; (e) for the establishment, exercise or defence of legal claims.

9) Security

We strive to address the information security and privacy concerns of our website users and visitors. This site is served exclusively over HTTPS using standard Transport Layer Security encryption, so information entered on or transmitted through the site is not readable by third parties in transit. This website has no user accounts and issues no passwords. No web or email transmission is ever totally protected or mistake free; for example, email sent to or from the Website may not be protected. You must take care in deciding what information you send to us by email.

10) Data retention

We only retain information which is necessary for the performance of our services and our contractual obligations to you as a guest. Enquiries sent through the interest form are kept for as long as needed to deal with the enquiry and for up to two years afterwards, or, where a booking follows, for the period required by Greek tax and accounting law. We may also retain information as required by law. We destroy and render useless all information which is no longer needed.

11) Marketing

We will not use or share your information for marketing purposes without your prior express consent. At times, we may give you the opportunity to sign up and opt in to receive product news, special offers and discounts from us. Please note that you can withdraw your consent at any time by writing to us at info@aegean-collection.com or by clicking the unsubscribe link in our emails.

12) Third-party services and advertising

This website ships with no third-party analytics or advertising technology enabled by default. If such a service is added in future it will be listed in our cookie policy and will only load after you have given the corresponding consent. Where a provider transfers data outside the European Economic Area, we rely on an adequacy decision or on the European Commission’s Standard Contractual Clauses.

13) Links to other websites

Our Website contains links to other websites that are not under our direct control, including our individual property websites, our social media profiles and the reserve-online.net reservation platform. These websites have their own policies regarding privacy. We have no control of or responsibility for linked websites and provide these links solely for the convenience and information of our visitors. You access such linked websites at your own risk. These websites are not subject to this Privacy Policy. You should check the privacy policies of those individual websites to see how their operators will use your personal information.

14) Privacy policy updates

We reserve the right to modify this Privacy Policy at any time. You should review this Privacy Policy frequently. If we make material changes to this policy, we may notify you on our Website, by email, or by any method we determine. The method we choose is at our sole discretion. We will also change the “last updated” date at the beginning of this Privacy Policy. Any changes we make are effective as of that date and replace any prior Privacy Policies.

15) Questions, and your right to complain

We are committed to conducting our business in accordance with these principles in order to ensure that the confidentiality of personal information is protected and maintained. If you have any questions about our privacy practices or this policy, please contact us at info@aegean-collection.com. If you believe we have not handled your personal data properly, you have the right to lodge a complaint with the Hellenic Data Protection Authority (Αρχή Προστασίας Δεδομένων Προσωπικού Χαρακτήρα), Kifissias 1-3, 115 23 Athens, Greece — www.dpa.gr — or with the supervisory authority in your country of residence.

16) General terms

Our legal terms shall be dealt with in accordance with the law of Greece and shall be governed in agreement with the rules and regulations of Greece and the European Union, and especially Regulation 2016/679. You herewith agree to present all legal cases to the courts of Athens, Greece. In any event where any clause of our legal terms is found irrelevant or unenforceable, that clause shall be discarded and the remaining clauses shall remain in full force and effect as permitted by the applicable law.
